What is n8n? A Plain-English Guide

n8n is a workflow automation platform that connects your apps and moves data between them automatically, with optional AI steps for decisions and written replies.

What n8n does

A workflow in n8n is a chain of steps. One step might watch for a new row in a spreadsheet. The next might create a record in your CRM. Another might send an email or ask an AI model to write a short reply. Once the workflow is running, that chain happens without someone copying the same information from one tool to another.

n8n can run in the cloud or on hardware you control. It has a large catalog of integrations, and it includes nodes for AI agents when a step needs a decision or generated text instead of a fixed rule.

When n8n fits

n8n is a good fit when you want to connect the tools you already use and keep the workflow visible as a set of steps you can change later. It is also a fit when you want the option to host the workflow yourself, or when a step needs an AI model to classify a request, draft a message, or decide which path to take.

It is not the only way to automate. If you only need two apps to pass a simple record back and forth, a hosted connector may be enough. If you want a canvas of many branches and you are happy to stay on a hosted platform, other tools can do that job too.

n8n vs Zapier vs Make

These three all move data between apps. They differ in how they are hosted and how the workflow is built.

• Zapier is a hosted connector with a large app catalog. It is often the fastest way for a non-technical team to link two apps.
• Make is also hosted. It uses a visual canvas, which helps when you want to see a multi-step scenario on one screen.
• n8n is an open workflow platform. You can use it in the cloud or host it yourself. It has many integrations and can add AI steps inside a workflow.

None of these is "the right tool" for every job. The fit depends on who will maintain the workflow, whether you need to host it yourself, and how complex the steps are.
