What are missed calls
costing your business?

Every unanswered call has a possibility attached to it. Use your numbers to estimate the opportunity you could be missing.

A clear estimate.
No mystery math.

Weekly calls × missed call rate × new customer share × (1 − callback recovery) × booking rate × job value

We multiply the weekly estimate by 52 ÷ 12 for a monthly average, or by 52 for a yearly estimate. “Callback recovery” is the share of missed new-customer calls you already reconnect with, putting them back into your normal sales process.

This estimates potential gross revenue, not profit or confirmed losses. It assumes each qualifying call represents a unique opportunity and uses your usual booking rate as a proxy for missed leads. Repeat callers, seasonality, cancellations, and limited capacity can change the outcome. Count unique callers where possible.

What should I count as a missed call?

A call your team did not answer live. Include after-hours calls and calls that reached voicemail. Use your callback recovery rate to account for the people you reconnect with.

How do I get better numbers?

Review the last 4–8 weeks of call logs. Separate new leads from spam and existing customers, then compare booked jobs with qualified inquiries.

What can I do about missed calls?

Start with faster callbacks, clear staff coverage, an answering service, or an automated receptionist. Compare the cost with your likely additional profit and ability to fulfill more jobs.
